Privacy Policy

Rhythm Systems is committed to respecting your privacy.  This Online Privacy Policy describes the privacy practices for Rhythm Systems' website www.rhythmsystems.com, and the Rhythm web service.

 

1. Why is my information needed?

Rhythm Systems' products are web based; because of this they may require the use of first and last names, a password, and a valid email address as a login. Therefore, at a minimum, we may require such necessary information in order to establish your account with us.

2. What information does Rhythm Systems gather/track and how is it used?

PERSONAL INFORMATION: Information gathered is done so on a voluntary basis. We collect personal information from users including (at a minimum) first and last names, an email address to be used as a login, and a password as well as comments on blog postings and job and press inquires. When a user registers online for the free version of the service, Rhythm Systems will take steps to verify the email address supplied to us to ensure it is accurate. Your email address may be used to send you periodic product newsletters, offers and usage tips from Rhythm Systems. We use the collected information to deliver services, process payments, update our records, communicate with you about products and services, and generally maintain your accounts with us. Because of our commitment to present the best possible product to all our users, we track the category of services selected by our individual users as well as all information pertaining to user satisfaction. To ensure the quality of our product, we reserve the right to maintain evaluation and feedback records.

BUSINESS INFORMATION: Information that is collected is considered confidential Business Information. Business Information includes app data, task data, messages, files, contact lists, and any other business information you provided when using the Rhythm System Services. We will collect and use Business Information only as necessary to appropriately support the Service, for the purpose of anticipating, diagnosing, supporting or resolving any problems that might limit or disrupt the quality of our customers’ service experience or as required by law.

MOBILE APPLICATIONS: When you download and use our services, we automatically collect information on the type of device you use, operating system version, and information necessary to configure the application for your device and preferences. We collect geolocation data only if a user elects to provide it in conjunction with an activity such as a post. You may opt-in to receive e-mail notifications in order to alert you to messages, tasks, items in which you are mentioned or referenced, or reminders you have set. You can change your notifications at any time in the app Settings.

SESSION RECORDS: To maintain our quality of service and to assist in the analysis of product performance, we may also gather data on connection information, including the timing and size of all packets sent over the Internet during a session. The gathered information is used only to ensure the highest quality experience possible when using our products.

SOFTWARE AND WEBSITE USAGE:  Rhythm Systems collects information on your use of our software and website such as pages visited, links clicked, non-sensitive text entered, and mouse movements, as well as information more commonly collected such as the referring URL, browser, operating system, and Internet Protocol (“IP”) address. We use publicly available sources to approximate your geographic region and Internet Service Provider based on your IP address. We use the term “Usage Data” to refer to this information about your use of the software and website that we collect. Our purpose in collecting Usage Data is to better understand how our software and websites are used.

SECURITY INFORMATION: Rhythm Systems also collects certain standard information about your computer for security and identification purposes. This information may include: IP addresses, domain names, access times, cookies and other unique identifying information of machines that have our software downloaded and installed on them. This information is used for the operation of the service, to identify and protect our customers and to control unauthorized use or abuse of our services. All information is encrypted during transmission and is stored securely within our servers.

WEB AND MOBILE ANALYTICS: We continuously improve our Sites and Apps and utilize different analytic tools to help us do so, such as cookies and web beacons. We are interested in how visitors use our products, what they like and dislike, and where they have problems. We also use analytic tools on our Apps to help gather non-personally identifiable data about download and application usage. In our use of analytics tools we do collect general geographic data, but it is only on an aggregate basis and not specific to an individual’s exact location. We may use precise geolocation data, but only if you specifically opt-in to collection of such data. These tools may be provided by third parties in order to assist us in collecting the information.

WEB BEACONS: Web beacons are tiny graphics with a unique identifier, similar in function to cookies, and are used to track the online movements of Web users. In contrast to cookies, which are stored on a user’s computer hard drive, web beacons are embedded invisibly on Web pages and are about the size of the period at the end of this sentence. The web beacons used in connection with our web analytics services do not share any personally identifiable information about our website visitors with third parties. These tools may gather data such as what browser a person uses, what operating systems are used, what is downloaded, and what content, products and services are reviewed when visiting or registering for services at one of our websites. This information is used solely to assist Rhythm Systems in maintaining a more effective and useful website for our customers. We track aggregate traffic patterns throughout our Site but we do not correlate this information with personally identifiable data about individual users. We also track domain names, browser types and MIME type.

COOKIES: A cookie is a small data file that certain websites write to your hard drive when you visit them. We use cookies to track user traffic patterns and hold certain registration information.  We use cookies to store unique, randomly assigned user IDs that we generate for administrative purposes. These cookies enable you to enter the Rhythm Systems sites without having to log on each time. We do not store passwords or any personal Information about you in the cookies. We may also use cookies in partnership with selected marketing companies to help us track the effectiveness of our websites, generate visitor traffic, or as part of a referral program.

Our site may also use local shared objects (LSOs), also known as HTML 5 and Flash cookies. LSOs are used to store preferences for the videos such as volume control. They are not used to back up, recreate, or re-spawn a browser cookie that a user may delete. LSOs are different from browser cookies because of the amount of and type of data stored, as well as the way that data is stored. 3rd PARTY INTEGRATIONS

You can connect third-party integrations to your Rhythm account, which may request permissions to access or send data to your Rhythm account. You are responsible for reviewing the third-party integrations you authorize. We may collect information on the types of integrations you use.

Granting permissions to third parties allows them to access your data, including viewing, storing, and modifying your Rhythm account data. We are not responsible for third-party practices, so please review the permissions you grant carefully.

 

Third-party services, such as Google or Microsoft, may be used to log into or connect to your Rhythm account. This may involve sharing specific scopes of data: 'openid', 'email', and 'profile'. This data can include your username, profile picture, and other information associated with your third-party service account, as permitted by your account settings on that service or as part of enabling an integration.

 

Google API Services - Calendar

Rhythm users have the ability to synchronize Rhythm Tasks and Meetings with Google Calendar. When enabled Rhythm will use the Google OAuth client to prompt the user to choose a Google Account and request the necessary permissions to activate this feature.

Once authorization has been granted, Rhythm will ask Google for a long-lived access/refresh OAuth token. This token will be encrypted within our system and used to synchronize the necessary data between Rhythm and Google on an ongoing basis. The user may disconnect this feature at any time and Rhythm will destroy this access token. The user may also revoke access privileges through their Google Account directly.

Below is a list of the necessary Google API Scopes that Rhythm requires, along with how they are used.

Rhythm users have the ability to synchronize Rhythm Tasks and Meetings with Outlook Calendar. When enabled, Rhythm will use the Microsoft OAuth client to prompt the user to choose a Microsoft Account and request the necessary permissions to activate this feature.

Once authorization has been granted, Rhythm will ask Microsoft for a long-lived access/refresh OAuth token. This token will be encrypted within our system and used to synchronize the necessary data between Rhythm and Outlook Calendar on an ongoing basis. The user may disconnect this feature at any time and Rhythm will destroy this access token. The user may also revoke access privileges through their Microsoft Account directly.

Microsoft Graph API Services - Excel

Rhythm users have the ability to map attributes on a Rhythm goal to cells in a Microsoft Excel spreadsheet. When enabled, Rhythm will use the Microsoft OAuth client to prompt the user to choose a Microsoft Account and request the necessary permissions to activate this feature.

Once authorization has been granted, Rhythm will ask Microsoft for a long-lived access/refresh OAuth token. This token will be encrypted within our system and used to synchronize the necessary data between Rhythm and Excel on an ongoing basis. The user may disconnect this feature at any time and Rhythm will destroy this access token. The user may also revoke access privileges through their Microsoft Account directly.

Rhythm users have the ability to integrate comments from Goals in Rhythm with Chats and Channels in Microsoft Teams. When enabled, Rhythm will use the Microsoft OAuth client to prompt the user to choose a Microsoft Account and request the necessary permissions to activate this feature.

Once authorization has been granted, Rhythm will ask Microsoft for a long-lived access/refresh OAuth token. This token will be encrypted within our system and used to synchronize the necessary data between Rhythm and Microsoft Teams on an ongoing basis. The user may disconnect this feature at any time and Rhythm will destroy this access token. The user may also revoke access privileges through their Microsoft Account directly.

3. With whom does Rhythm Systems share the information?

Ensuring your privacy is important to us. We do not sell, trade or rent your personal information to third parties except as described within this Privacy Policy.

Rhythm Systems' products and services by necessity require us to provide some of your information to third parties. We may occasionally employ other companies to perform functions on our behalf. Examples include processing credit card payments, sending postal mail and email, analyzing data and providing marketing assistance. They have access to personal information only as needed to perform their functions and may not use it for any other purpose. Further, they must process the personal information in accordance with this Privacy Policy. Also, in the event that Rhythm Systems or substantially all of its assets are acquired, customer information will be one of the transferred assets. For more information on how you will be notified in this instance, see Section 5 below.

Except in the limited instances as stated above, we will never voluntarily share personally identifiable information with any third party without the user’s express consent or unless compelled by applicable state and federal laws. We reserve the right to disclose your personally identifiable information as required by law and when we believe that disclosure is necessary to protect our rights and/or to comply with a judicial proceeding, court order, or legal process served on our website.

This website may contain links to other sites that are not owned or controlled by Rhythm Systems. Please be aware that we, Rhythm Systems, are not responsible for the privacy practices of such other sites. We encourage you to be aware when you leave our Site and to read the privacy statements of each and every website that collects personally identifiable information.

 

4. How can I review, correct and update my personal information?

If you wish to change, review or delete your personal information, go to your “Settings” page. There you can access or update the personal information we have on file. You can also change your email notifications.  Please contact us at help@rhythmsystems.com if you need assistance in updating or reviewing your information.

5. How can I opt out of Rhythm Systems' collection, use and distribution of my information?

You can opt out of promotional emails at any time by clicking on the link located in the emails, but you will still receive communications such as receipts, confirmation emails and customer service updates that are considered necessary to provide the service to you. You can also update your mobile notice status by making your selections within the Settings section of the App.

CHANGES TO THIS POLICY: This privacy policy is subject to change. If we plan to use your personally identifiable information in a manner materially different from that stated at the time of collection, we will notify you via email prior to the changes taking effect. If Rhythm Systems or any of its assets are acquired by another company we will notify you via email about this transaction and the transfer of your personal information. You will have a choice as to whether or not you consent to the usage of your information in a different manner. In addition, if we make any material changes in our privacy practices that do not affect user information already stored in our database, we will post a prominent notice on our website notifying users of the change. 

 

6. How does Rhythm Systems protect my information from loss, misuse or alteration?

Rhythm Systems uses industry-standard efforts to safeguard the confidentiality of personally identifiable information, including encryption, firewalls and SSL (Secure Sockets Layer). Nevertheless, we remind you that no security measure is perfect. Rhythm Systems is not liable for loss of passwords due to user carelessness. If you lose control over your password, you may lose control over your personally identifiable information. If you believe your password has been compromised, we recommend that you immediately change your password. For information on how to do this, please see item number 4 above.
